Clinic ERP: your first 7 days

A day-by-day plan to set up masters, start prescriptions, open the pharmacy counter and close your first week of accounts.

This guide takes a clinic from a fresh account to a full week of live work. Each day builds on the one before, so follow the order.

Day 1: Clinic profile and users

  • Add the clinic name, address, GSTIN and logo under Settings > Clinic.
  • Set the UHID format, for example a short prefix and a running number.
  • Invite users with roles for doctor, reception, pharmacy, therapy and accounts.

Day 2: Masters

  • Import your medicine list with HSN code, GST rate, unit and reorder level.
  • Review the diagnosis and complaint lists, and add the terms your doctors use daily.
  • Create prescription templates for your three most common conditions.

Day 3: Opening stock

  • Enter opening stock batch by batch, with expiry date and MRP.
  • Run the stock valuation report and match it against your last physical count.

Day 4: Front desk and prescriptions

  • Register every patient in the system, even if a doctor still writes on paper today.
  • Ask one doctor to write all of today's prescriptions on the pad and print them.

Day 5: Pharmacy and billing

  • Dispense from finalised prescriptions, so stock moves by batch.
  • Collect cash, UPI and card payments on a single bill.

Day 6: Reminders

  • Switch on follow-up and refill reminders, and set quiet hours.
  • Check the reception work queue for patients due today.

Day 7: Close the week

  • Review the day book, collections and outstanding dues.
  • Look at stock alerts and raise your first purchase order.
Tip: Run paper and software side by side for three days at most. After that, paper only slows everyone down.
